The operations coordinator is responsible for the day-to-day operation of the vessels. Operations vary according to the type of vessel; however, the basic responsibility of crew members, client interaction, and daily maintenance, remains with the operations coordinator.

Position Type

This is a full-time position. A typical workday is Monday through Friday, from 7:30 a.m. to 5:00 p.m. with weekends.

Marine Functions

The operations coordinator will

  • Ensure vessels are crewed according to flag state regulations (USCG/Vanuatu) and ensure that crew needs are addressed in a timely manner.
  • Ensure crew changes are scheduled and conducted.
  • Ensure vessels are well maintained. This includes machinery, exterior maintenance (washing and painting) and interior maintenance (sanitary, A/C filters, and checking batteries).
  • Review company PM program to ensure tasks assigned to operations are completed.
  • Ensure that payroll is accurate and submitted as required.
  • Review maintenance logs (engine hours, repairs and valve settings) and grocery logs (maintaining a budget).
  • Ensure each vessel is able to maintain its work schedule.
  • Ensure that charter requirements are met.
  • Maintain a safe working environment for crew members on board each vessel.
  • Be available for on-call schedule. On-call duties include taking care of all the vessels in the division after business hours and on weekends when the office is closed.
  • Ensure that all flag/class inspections are scheduled and completed prior to drop-dead dates. All flag/class/port state inspections are documented in the audits module in UniSea with findings for deficiencies and zero deficiencies.
  • Complete a shore-side vessel inspection not more than three months prior to the next flag and class surveys.
  • Every vessel should have a shore-side vessel inspection completed each calendar year with no more than 18 months between each inspection. If the vessel is in a remote location and the coordinator is not available to conduct the shore-side vessel inspection, the master should complete the checklist and provide the results to the coordinator.
  • Effectively manage daily reports and certificates of assigned vessels within the UniSea Management System.

QHSE Responsibilities

The operations coordinator is responsible for

  • Supervising the company's safety programs (i.e., WISE, Pre-Job Safety Meetings, Permit to Work, Near Miss, etc.) and ensuring crew participation.
  • Relaying any and all QHSE notices, memos and alerts to all vessels within the division.
  • Ensuring all personnel has available all necessary PPE to perform vessel operations safely. In particular, the coordinator should ensure that personnel transported to a vessel have the basic PPE allotment prior to boarding the vessel.
  • Ensuring all unsafe conditions or acts are corrected in a timely manner.
  • Immediately notifying QHSE of any accidents, illnesses, vessel incidents, near misses, nonconformances, etc.)
  • Conducting accident, incident and quality investigations and implementing corrective actions with the assistance of the QHSE department.

Supervisory Functions

The operations coordinator is the immediate supervisor for the vessel masters.

Reports To

The operations coordinator reports to the operations manager.

Work Environment

The operations coordinator will

  • Predominantly work indoors with occasional outdoor work required.
  • Work in a variance of temperatures and conditions while completing assessments in the field and on board vessels.


Travel is as needed and includes domestic and international trips. Time travel can range from two (2) to fourteen (14) days.

Minimum Requirements

Must have a related degree/certification and/or like-industry experience or training.
